How to create a quote on WhatsApp with Docket
Create a quote through WhatsApp with Docket. Set up your business, send the job details, review your PDF and share the finished quote with your customer.
To create a quote on WhatsApp with Docket, first sign up using the number you use on WhatsApp and finish your business setup. Then message Docket with the customer, work and prices. Review the generated PDF, request any corrections and share the finished quote with your customer.
Docket is a business document assistant that works through chat. You provide the job facts and prices; Docket helps turn them into a document using your saved template.
What to have ready
You do not need to write a polished paragraph before asking for a quote. You do need enough information to describe the job accurately:
- The customer and, where relevant, the job address.
- The work or materials included.
- Quantities and the prices you want to charge.
- The currency and applicable tax treatment.
- Any important exclusions or agreed terms.
If you have not decided a price, work that out before treating the result as a final quote. An assistant cannot know your supplier costs, site conditions or intended margin from a vague description.
1. Set up your business
Create your Docket account using your WhatsApp number. Add your business details and choose a template, then complete setup before returning to WhatsApp.
This step connects the conversation to your account. At present, a new number receives a website signup link, and an account with incomplete setup receives a link to finish it.
If you already have a quote layout you want to keep, you can use a clear image as a reference for a reusable template.
2. Send a specific request
The following is a fictional job for a business that is not VAT registered. Replace the details and prices with your own.
Create a quote for Alex Morgan. Supply and fit 3 internal doors at £180 each, and fit 3 customer-supplied handles at £15 each. Use GBP. Exclude painting and disposal of the old doors. The business is not VAT registered. Use my saved Quote template.
The expected total is £585: £540 for the doors and £45 for fitting the handles. That gives you an independent calculation to compare with the document.
The request distinguishes materials supplied by the business from materials supplied by the customer. It also says “quote”, so the document should not present the amount as a payment already received.
If the request is missing an essential fact or the customer name matches more than one record, answer the clarification before continuing.
3. Check the PDF
A finished file needs a review even when the original message was clear. Open the PDF and check:
| Check | In this example |
|---|---|
| Document type | Quote, not invoice or receipt |
| Customer | Alex Morgan |
| Quantities | Three doors and three handles |
| Scope | Door supply and fitting; handle fitting only |
| Total | £585 |
| Exclusions | Painting and disposal of old doors |
Also check your business details and any dates or terms you supplied. Wait for an actual document result before assuming the file is ready.
4. Ask for a correction in context
When you are discussing the quote you just created, describe the change precisely:
Update this quote to 4 doors and 4 handles at the same unit prices. Keep the exclusions unchanged.
The revised example totals £780. Read the new PDF and make sure it contains the change before forwarding it.
For a change to one document, say “this quote”. For a design you want to reuse on future quotes, say “my saved Quote template”. Those are different requests.
5. Share the finished quote
Open the completed PDF and use your device's share or forward option to send it to the customer. A useful accompanying message is:
Hi Alex, here is the quote for the doors we discussed. It includes supply and fitting, plus fitting your handles. Let me know if you would like any part of the scope changed.
Keep the latest version available so a later discussion refers to the same document. If the customer has not responded, follow up at the time you agreed and ask whether they need any part of the quote clarified.
Common questions
Do I need to sign up before using Docket on WhatsApp
Yes. The current flow requires a Docket account associated with your WhatsApp number and completed business setup.
Can I use Docket from the website instead
Yes. Docket also has web chat for business documents. You can review the generated PDF and download or share it yourself.
Can I send a picture of my existing quote
Yes, you can provide an image as a design reference. Make the intention clear: ask for a reusable Quote template if you want to keep the layout, or explain which transaction details you want used for a particular document.
Does Docket decide what I should charge
Supply your own prices and verify the calculations. This workflow helps prepare the document; it does not establish a suitable price for your trade, costs or job conditions.
